There are three ways to work with us. Start with the one that matches what you need. Not sure where to start? Send us the date, the city and the guest count, and we'll suggest a plan.

Full service event planning with one team

You brief one team, and the people who own the equipment run it on the day.

  • When you hire an event planner, a rental company and an AV vendor separately, you become the person who connects them. Delivery windows, power, Wi-Fi and venue access fall between three contracts, and the questions land on your phone.
  • With us, delivery, setup, staffing, live operation and teardown sit with one team. We own the stations, so our operators know each one and fix a problem on the spot instead of calling another vendor.
  • We plan the whole event with you. The interactive stations, AV and operators are ours. For the rest of the program we book the vendors and keep them on our schedule.

An event company with two bases

You get a crew that has worked trade show floors, office towers, school campuses, a film studio lot and an airfield venue.

ESR is a corporate event planning agency with two bases: Los Angeles on the West Coast and Orlando on the East Coast. In Orlando we have an office and a warehouse at 310 N Orange Ave. The corporate event rentals we bring belong to us, so the station in our case photos is the one that rolls into your venue, with the same people running it.

In the racing cockpits we use Xbox systems. Sound runs through QSC speakers, and our screens measure 50 to 65 inches.

Clients include Capital Group, i2c, Sysmex America, Parker Aerospace, EF Academy and Alpha School. Event agencies and planners book us for their own clients: Total Brand Experience, Event Collective, Kid's Bash OC and the organizers of TEC6.

What you get on event day

Your stations are tested before guests walk in, and afterward you have something to show your boss or your client.

Setup finished before doors open

We arrive hours ahead and test every station before the first guest walks in.

Your brand on the station

We wrap simulator panels and seat areas in your colors and add sponsor graphics.

A leaderboard that keeps people playing

A live ranking on its own screen gives guests a reason to try again and gives the crowd something to watch. Add prize places if you like.

Results after the event

After an employee social with four racing simulators we sent the client the final leaderboard.

A trade show booth that needed a reason to stop. We branded a racing cockpit in i2c colors at FinovateFall in New York and put a live fastest-lap leaderboard on a second screen. Over three show days the booth team saved about 51 external contacts.

How event management works with us

You give us the basics once, and we carry the plan through to teardown.

  1. Step 1: Send the basics

    • Event type, date, city, guest count and budget.
    • We reply right away, check availability and send a quote in minutes.
  2. Step 2: Pick the format

    • We suggest stations that fit your theme and your guests: a flight simulator for an aviation venue, a surf station for a luau.
    • You approve the package and the branding.
  3. Step 3: Check the venue

    • We confirm floor space, outlets, Wi-Fi, stairs or elevators, access hours and insurance requirements, then agree on an arrival time.
  4. Step 4: Set up and test

    • Our crew builds each station and runs a test before the agreed ready time.
  5. Step 5: Run the event, then pack up

    • Operators guide guests and keep the line moving.
    • After the last guest, we take everything down and send you the results.
    • The full timeline, with what we need from you at each step, is on how corporate event planning works.

Nationwide event planning from Los Angeles and Orlando

Your event can be in any state. We have two bases, Los Angeles and Orlando, and work across the U.S. Transport, setup and staffing come as one booking.

We've run events from Los Angeles and the rest of Southern California to the New York Marriott Marquis in New York and Paramount Event Venue in Morrisville, NC. Florida and the East Coast are a regular part of our work area. We plan for big show floors such as the Orange County Convention Center in Orlando, home to IAAPA Expo and the PGA Show. In every city we plan the same way and ship the same stations. Find yours among our nationwide corporate event services by city, including Dallas, Chicago, Miami and Seattle.

Who shows up on event day

  • Event coordinator. Your one contact for event coordination with the venue, the schedule and any changes on the day.
  • Setup crew. Delivers, assembles and tests the stations, then takes them down after the last guest.
  • Station operators. Stay at the stations for the whole event, explain the controls, run the leaderboard and shorten turns when a line builds.
  • AV technician. Runs speakers, microphones and announcements when your program has them.

You'll know who handles each part of the day before we load the equipment.

Insurance documents and setup plans

Your venue gets the paperwork it asks for, and you get a plan to share with your team or your client.

  • We send insurance documents to venues and organizers on request. We've done it for airfield-side access at Hangar 21. Send the venue's requirements with your request, and we'll confirm what we can provide before you book.
  • Before the event you get a setup plan: arrival time, load-in route, space and power for each station, ready time, event hours and teardown.

Questions planners ask us

What do corporate event planners charge?

Event planner prices depend on the event, so we don't keep a price list. Every event gets a custom quote, built from your stations, hours, city, branding and staffing. How we put it together is on how we quote.

Will there be extra fees for travel, hotels or staff meals?

Travel is part of the quote. We list it as a separate line, so you see what the equipment, the crew and the trip cost before you sign.

Can you run the event in my city?

Yes, in any state. We have two bases, Los Angeles and Orlando, and the equipment and the crew travel together. You don't need a local vendor for the stations we run, and you coordinate with one team.

What does an event company like ESR do?

We plan and produce corporate events and bring our own interactive stations. You can hand us the whole program or book one part: planning, production, AV, staffing or a single simulator.

The venue asks for a certificate of insurance. Can you send one?

Yes, on request. Include any additional insured wording in your inquiry, and we'll confirm it before you book.

Will the stations fit, and is there enough power?

We fit the setup to your venue and confirm space and power with you before we book. We also check Wi-Fi and access. Our racing cockpits have run on standard office outlets.

Can you set it up on short notice?

Yes, if the stations and a crew are free on your date. EF Academy booked its surf simulator two days before the luau. Call us with the date first.

Will guests use it, or will it stand empty?

Our operator stays at the station for the whole event. They invite people in, explain the controls and call the next player, so the station never waits for volunteers.
